This policy applies across Tier 2 (£10), Tier 3 (£20), and Tier 4 (£40) and supports the sustainability of our low-cost therapy provision.

2. Relationship to the Cancellation Policy

The Cancellation & Non-Attendance Policy sets out:

•How many late cancellations or non-attendances are permitted

•When sessions may be paused or charged

•When reapplication may be required (Tier 1 – FREE)

The Refund Policy clarifies that:

Missed or chargeable sessions under the cancellation policy do not qualify for a refund

Charges applied due to exceeding cancellation or non-attendance limits are not refundableFor Tier 1 (FREE), sessions are paused rather than refunded, as no payment has been made

3. Transfer to a Nominated Person (In Place of Refunds)

In place of refunds, paid sessions may be transferred to a nominated person, subject to the following conditions:

•The request must be made before the scheduled session takes place
•The nominated person’s full name, email address, and contact details must be provided
•The nominated person must complete any required onboarding or screening
•Transfers are subject to therapist availability and clinical suitability

Transferred sessions:

•Cannot be exchanged for cash

•Cannot be transferred multiple times

•Do not override suitability or safeguarding decisions

4. Exceptional Circumstances

In exceptional circumstances, a refund may be considered, but this is not guaranteed.

• All refund requests are assessed on a case-by-case basis
• There is no automatic entitlement to a refund
• Decisions take into account fairness, safeguarding, clinical context, and programme sustainability

Where a refund is approved, it will be processed via the original payment method.
